Scheduling Web conferences

The process of creating Web conferences is very similar to creating standard meetings.

  1. Follow the steps outlined in Creating a meeting entry.

  2. Select the Conferencing tab.

  3. Select the Web Conference check box to enable the fields in the tab.

  4. To set a code that invitees are required to enter before joining this conference, enter the code in the Conference key field. If you do not set a code for the conference key, one will automatically be generated by the system.

  5. Select a Web conference type from the Type drop-down list:

NOTE: If the system administrator has disabled inviting external attendees, you cannot invite them to meetings associated with regular or public Web conferences. Similarly, you will not be able to create a regular or public Web conference for a Meeting that has external attendees.

  1. You can enter dial-in information in the Dial-in information field.

  2. If this is a repeating meeting, see Applying modifications to repeating entries for more information on applying Web conference details to one or all instances of the meeting.

Once a Web conference ID is generated by the server, it is added to the meeting entry.
