Accepting or declining a meeting
When you accept or decline an entry, your reply automatically appears in the entry owner's Agenda as well as the Agendas of the other invitees. If you are an entry owner, you can also accept or decline the entry on behalf of external attendees invited to the entry.
- Double-click the meeting you want to reply to.
- Select the Reply/Notes tab in the <Entry> dialog box.
- Select the appropriate name from the Reply for drop-down list.
- Select one of the following options from the Response drop-down list:
- Accept
- Decline: If you do not want declined meetings to appear in your Agenda, see Setting display options.
- Decide later: The meeting entry remains in the New Entries folder in your In-tray until you select the Will attend or Will not attend option.
- After selecting a response, you can indicate that you would prefer another time for the meeting by selecting the Would prefer another time check box.
- Select how you would like the meeting time to appear in your Agenda by selecting either Free or Busy from the Show time as drop-down list.
For example, if you are not going to attend the meeting but do not want others to book you during that time, you can combine the Will not attend response with the Busy display option.
- If you want to enter personal notes about the meeting, enter them under Personal notes. You have up to 30,000 characters for personal notes. You will only be able to see or modify the personal notes if you are the one who created them or if you have designate rights for the person who created them.
If you want to send an e-mail to the invitees, select the People/Resources tab, then click the Send e-mail button. This opens the Mail Message dialog box. See Sending an e-mail notification for a meeting for more information.
