Viewing a Meeting | General

(double-click on a Meeting you do not own)

The View Meeting dialog box lists information about a Meeting that you do not own. The title, date, time, location and list of attendees are displayed. If it is a Repeating Meeting, the list box at the bottom shows all instances of the Entry.

Any file attachments or comments relating to the Meeting are included here.

Click Save as... to download an attachment to your machine. If you wish to open the file right away, double-click the file's icon. If you have not associated an application with the type of file you are opening, you will be prompted to do so.

Viewing a Meeting | Linked Tasks

Use the Linked Tasks section to associate a Task that must be completed for a specific Meeting. You can link Tasks to Meetings you do not own. Click New... to create a new Task that will be automatically linked to the Meeting.

When you print a Meeting that has Tasks linked to it, those Tasks are included on your printout.

Creating or editing a Meeting | Reminders

Select whether you would like to receive a reminder of your Meeting. Choose which type of reminder you would like to receive and when you would like to receive it.

There are two types of reminders you can set for an Entry:

Display Upcoming for reminders appear in the Notes Pane of your Day or Week View. The upcoming reminder will appear in the Agenda on every day before the Event starts for the time period you select.

Remind me reminders (pop-up, e-mail or wireless) appear at the time you select in order to notify you of the Entry.

Viewing a Meeting | Reply

If other users are invited to the Meeting, changes to your reply will automatically appear in their Agendas as well. If the Meeting's owner changes the time or date of the Meeting, it will appear as a new Meeting in your In-tray, thereby replacing the old Meeting.

Response options:

After selecting a response, you can indicate that you would prefer another time for the meeting by selecting the I would prefer another time check box.

Select how you would like the meeting time to appear in your agenda by selecting either Free or Busy from the Show time as drop-down list. For example, if you are not going to attend the meeting but do not want others to book you during that time, you can combine the I will not attend response with Show time as: Busy. See also:
