Sending a mail message

Whenever you create an Entry, you can send a mail message to the invitees.

By default, all attendees' names appear in the distribution list, unless they have chosen not to receive e-mail notification of new Entries. You can also send the e-mail message to external users.

To add a user to the list of attendees:

You can easily add the Entry's owner, all its attendees and its Resource designates by clicking the Owner, All attendees and Resource designates buttons. You can add other users by typing their names in the Other edit box and clicking the Checkmark button, or by clicking the Search button to search the directory for users to add to the list of attendees.

CorporateTime users that are on your system are indicated by a pink User icon next to their names in the list.

To add external people to the list of recipients:

Enter their e-mail address in the Other edit box. Individuals who are not on your CorporateTime system are indicated by a white User icon next to their names in the Distribution list edit box.

The Message to send area contains information about the Entry that will appear in the body of the e-mail. You can add more information to the message or modify it completely.

If you have included external users in this mail message, you can also choose to send Entry information as iCalendar or vCalendar data.
