Charge Capture Settings
The
Charge Capture Settings
screen allows you to configure the behavior for the ChargeKeeeper module for the selected user. The parameters available to you depend upon your
PAT Access Level
for the system. When you select
ChargeKeeeper
from the
Edit Settings
menu, the
Charge Capture Settings
screen appears.
The
Charge Capture Settings
screen allows you to view and configure the following parameters:

H-Pickers
: This setting displays a list of stock charge categories created at a departmental level, as well as any personal charge categories that exist for the selected user. An H-Picker is a hierarchical method for selecting charge codes. A user can organize subsets of codes into categories of their own choosing to make it easier to enter charges on their handheld device. For example, the user may want to create a category, and corresponding charges, for x-rays that they order frequently.
Personal charge categories are easily identifiable by the underscore `_' that precedes their name. If some stock categories are not useful, the user can hide them so that they do not appear on the handheld device. Click the
Edit
link to modify the hide/unhide settings for the stock categories, or to create a personal charge category.

To set the hide/unhide properties for a stock charge category, click on the name of the stock category and a
Hide
or
Unhide
link will appear.
Click on the link to toggle the setting for the category. Once a category is hidden, it will no longer appear for selection on the handheld device. To view the codes contained within the stock category, click on the `+' symbol preceding the name to expand the view.

To create a personal charge category, click on the
My H-Pickers
name and select
Add Child Category
from the list of links that appears.
Enter a category name and click
Save
.

To add one or more charge codes to the personal charge category, click on its name and choose
Manage Codes
from the list of links that appears.
Check all codes you wish to add and they will appear in the
Quick Details
box. Use the
Nomenclature Dictionary
and
Category
pull-down lists to filter the list of codes so that you can find the ones that you wish to add. Click
Save
in the
Quick Details
box to add the codes to the category.

To remove a personal charge category, click on its name and choose
Delete
Category
from the list of links that appears.

To change the name of a personal charge category, click on its name and choose
Edit Label
from the list that appears.

Macros
: This setting displays a list of macros, containing multiple charges, that are available when this user is assigning charges in a transaction. A Macro is a set of charge codes that are grouped together to make it possible to add the group of charges to a charge transaction on the handheld device with a single tap.Rather than having to enter these four charges one at a time, the user can simply tap the cardiac exam macro once and all four charges are added. If some stock macros are not useful, the user can hide them so that they do not appear on the handheld device.
Click the
Edit
link to modify the hide/unhide settings for existing macros or to add new personal macros.

To set the hide/unhide properties for a stock macro, select the macro by clicking on it in the
Manage Personal Macros
form and then click the
Hide
or
UnHide
button in the
Quick Details
box. Note that the button toggles between
Hide
and
Unhide
depending upon whether or not the
Hidden
column has been checked or unchecked, respectively, for the macro.To create a personal macro that is available only to the selected user, click the
New Macro
button on the toolbar and do as follows:

Enter a
Macro Label
in the
Quick Details
box and then click the
New Charges
button on the toolbar. The
Add Charge
form will appear.

Click the
Add
button next to
Procedure
on the
Add Charge
form and use the
Search
button that appears to find the charge you wish to include in the macro.

Select the charge you wish to include from the matching results by clicking on it, and then click the
Select
button.
-
Click the
Save
button below the
Add Charge
form to add that charge to the macro. Repeat the procedure, starting with clicking on the
New Charges
toolbar button, to add more charges to the macro.

When you have added all of the desired charges, click the
Save
button in the
Quick Details
box to create the macro.

Provider Header Fields
: This setting determines which provider fields are required in the details for a transaction as well as setting default values and behavior for those fields. Click the
Edit
link to bring up the
Header Fields: Provider
form.
For each provider field in the first column, specify the behavior by modifying its parameters as:

Check
Suppress
to remove the field from the transaction details screen.

Check
Require
to make the user specify a value for the field before the transaction can be saved.
-
Check
Allow Free Text
to give the user the ability to use graffiti or another text input mode to search for the provider's name to place in the field.

Check
Show Short List
to display a short list of previous choices from which to choose appropriate provider names. Note that the short list is indicated by a down arrow on the handheld screen before the value box for the field. The short list can be up to 10 entries in length, with a
More
button available at the end to display the full list of choices.

Select the
Initial Default
value from the pull-down list to specify who will be listed for this provider field.

Select the
Subsequent Default
value that will be used for this provider field the next time a transaction is created for this patient.

Additional Header Fields
: This setting lets you add more fields to the transaction details screen and set the behaviors for those fields. Click the
Edit
link to display the
Charge Details Fields
form.
This form allows you to add new fields of a specific type (code set, text, numeric, time) to the transaction details view. To add a new field, go to that specific type and click the
Add
button. The row expands to display settings for that field type. You must fill in values for all of the settings in order to define the new field or to work on another field. To exit without defining the field, click the
Delete
button at the end of the row.

Top Handheld Header Field
: This setting specifies which field appears first on the list when viewing the details for a transaction on the handheld device. Select the field from the list of available choices.

Bottom Handheld Header Field
: This setting specifies which field appears last on the list when viewing the details for a transaction on the handheld device. Select the field from the list of available choices.

Account Header Field Label
: This setting specifies the label name that appears for the field specifying the account. By default, it is labelled
Account
.

Allow Free Text Diagnoses
: This setting determines whether or not the user can enter diagnoses using free text (either graffiti or another input mode). Choose
Yes
to give the user this capability; choose
No
and force the user to select diagnoses from a predefined list of diagnoses.

Allow Free Text Charges
: This setting determines whether or not the user can enter a charge using free text (either graffiti or another input mode). Choose

and force the user to select a charge from a predefined list of charges.

Prompt for GC Modifiers
: This setting determines whether or not the user will be prompted to add a GC modifier when adding a charge. Choose
Yes
to give the user the prompt; otherwise, choose
No
and the user can add charges without being prompted for a GC modifier.

# of Days Beyond the Discharge Date to Allow Editing a Charge
: This setting determines how many days after a patient's discharge date that a user can edit charges for that patient.

# of Days Beyond the Discharge Date to Allow Setting the Service Date
: This setting determines how many days after a patient's discharge date that a user can specify a service date for that patient. The service date appears as the
Date
field when viewing the details of a transaction.

# of Days Before the Admission Date to Allow Setting the Service Date
: This setting determines how many days before a patient's admission date that a user can specify a service date for that patient. The service date appears as the
Date
field when viewing the details of a transaction.

This setting determines how many days before today that a user can specify a service date for a patient. The service date appears as the

Maximum Number of Diagnoses Allowed per Transaction
: This setting determines the maximum number of diagnoses, between 0 and 15, that is allowed for each transaction containing a charge.

Minimum Number of Diagnoses Required per Transaction
: This setting determines the minimum number of diagnoses, between 0 and 15, that is required for each transaction. A transaction without the minimum required diagnoses can only be saved as a Draft.

Maximum Number of Modifiers per Charge
: This setting determines the maximum number of modifiers, between 1 and 15, that can be assigned to a charge.

Minimum Number of Charges per Transaction
: This setting determines the minimum number of charges, between 1 and 15, that are required for each transaction. A transaction that doesn't have the minimum required charges can only be saved as a Draft.

Copy Diagnoses when Copying a Transaction
: This setting determines whether or diagnoses are copied when a transaction containing charges is copied as a basis for a new transaction. Choose
Yes
to include the diagnoses; choose
No
to only copy the charges.

Copy Diagnoses when Creating a New Transaction
: This setting determines whether or not the previous transaction's diagnoses are automatically added into the user's next transaction for the same patient. Choose
Yes
to include diagnoses; choose
No
to create a transaction with no existing diagnoses.

Posted Transactions Sent to Handheld
: This setting determines which transactions with the
Submitted
status, meaning they have been posted to the backend of your system, that the user can view on their handheld device. Click the
Edit
link to access the
Posted Transactions Sent to Handheld
screen and set the parameters as follows:

Set the
Within the last `n' days
parameter to a value between 1 and 30 days of transactions that the user may view on their handheld device.

to Yes to restrict the user such that they can view only active accounts; otherwise, set it to

: This setting determines whether or not the box is checked for the
